Shipping & Project Protection Policy

At Stitch Itch Creations, custom Memory Quilts, Memory Bears, and keepsakes often begin with clothing and fabrics that carry deep personal and sentimental value.

Because many of these materials are one-of-a-kind and cannot simply be replaced, this policy is designed to explain how customer-provided materials should be prepared, packed, shipped, handled, and returned throughout the project process.

Before You Ship Your Clothing

Customers should not ship clothing or other project materials until Robin has reviewed the project and confirmed that it is ready to move forward.

Please keep all garments and fabrics intact unless Robin specifically instructs otherwise.

Do not cut, trim, remove graphics, separate seams, or otherwise alter garments before the project review.

Before shipping, customers should carefully review the items being sent and confirm that they are comfortable allowing those materials to be cut, sewn, altered, and incorporated into the approved custom project.

Customers should not send any item they do not intend to be used or altered unless Robin has specifically agreed to receive it for review.

Packing Your Materials

Customers are responsible for securely packing clothing and other approved materials before shipment.

Whenever practical:

  • Place clothing inside a clean protective bag before placing it in the shipping box.

  • Use a sturdy shipping box appropriate for the weight and amount of clothing.

  • Clearly label garments if certain items are connected to specific people, sections, or requested keepsakes.

  • Include any project identification information Robin provides.

  • Do not place loose notes, jewelry, valuables, or unrelated personal items inside the shipment unless Robin has specifically approved them.

If several family members or different projects are included in one shipment, the items should be separated and clearly labeled.

Shipping to Stitch Itch Creations

Customers are responsible for shipping approved clothing and materials to Stitch Itch Creations.

Because many customer-provided materials are sentimental and difficult or impossible to replace, Robin strongly recommends using a shipping method that provides tracking.

Customers may also choose to purchase carrier insurance or other shipping protection when available.

Any insurance purchased for the shipment to Stitch Itch Creations is arranged between the customer and the shipping carrier.

Customers should retain their shipping receipt and tracking information until Robin confirms receipt of the package.

Packages in Transit to Robin

Stitch Itch Creations does not control shipping carriers or packages while they are in transit.

Robin will take reasonable care of materials once they have been received, but Stitch Itch Creations cannot guarantee the performance of USPS, UPS, FedEx, or another shipping provider.

Claims involving a package that is lost, stolen, delayed, misrouted, or damaged before delivery to Stitch Itch Creations may need to be handled through the carrier used by the customer.

When Robin Receives Your Clothing

After approved project materials are received, Robin will review the shipment against the project information previously discussed.

If Robin identifies a concern that could materially affect the project, such as insufficient usable fabric, unexpected damage, missing garments, fabric limitations, or a difference from what was originally described, she may contact the customer before proceeding.

The project scope may need to be adjusted if the materials received differ substantially from the information used to prepare the original project plan.

No meaningful clothing will intentionally be altered before the project has reached the approved production stage.

Customer-Provided Materials

Customers retain responsibility for deciding which clothing and sentimental materials they choose to provide.

Once materials are cut, sewn, altered, or incorporated into a custom project, they cannot be returned to their original condition.

Stitch Itch Creations cannot replace sentimental, vintage, discontinued, one-of-a-kind, or personally significant materials supplied by the customer.

Robin will use reasonable care when handling customer-provided materials, but customers should understand that normal custom sewing and quilting requires permanent alteration of the materials being used.

Unused Clothing and Fabric

The handling of unused garments, remaining fabric, and significant scraps should be discussed as part of the individual project scope.

If there are particular garments, labels, patches, graphics, or fabric remnants the customer wants returned, Robin should be told before production begins.

Customers should not assume that every scrap or remaining fabric piece will automatically be returned unless that has been included in the confirmed project instructions.

Changes After Materials Arrive

If a customer requests a significant project change after clothing has been received, Robin will review whether the requested change is still practical.

Changes may affect:

  • Project design

  • Amount of usable clothing

  • Additional materials needed

  • Price

  • Production time

  • Finished size

  • Number of keepsakes

  • Shipping

Some changes may no longer be possible after materials have been cut or incorporated into the project.

Robin will explain any material change to the project before proceeding whenever practical.

Protecting the Finished Project

When the project is complete, Robin will package the finished Memory Quilt, Memory Bear, or keepsake with reasonable care for return shipment.

The shipping method, shipping cost, and any available insurance or tracking options should be confirmed as part of the project scope.

If shipping charges are not already included in the quoted project price, the customer is responsible for the applicable return-shipping cost.

Customers should not assume free shipping, included insurance, signature confirmation, or a specific carrier unless those items are actually included in the confirmed project.

Shipping the Finished Project

Once the finished project has been transferred to the shipping carrier, delivery is subject to the carrier's operations and policies.

Stitch Itch Creations cannot guarantee an exact carrier delivery date after the package has entered the carrier's network.

If tracking is included for the shipment, the customer should monitor the tracking information and make reasonable arrangements to receive the package.

Customers are responsible for providing a complete and accurate shipping address before the finished project is shipped.

Incorrect Shipping Addresses

Customers should carefully verify their shipping address before the finished project is mailed.

If a package is returned because of an incorrect or incomplete address supplied by the customer, additional shipping charges may apply before the package is sent again.

If a customer requests an address change after a package has already been transferred to the carrier, Stitch Itch Creations may not be able to redirect the shipment.

Shipping Damage

If the finished project arrives with visible shipping damage, the customer should:

  1. Keep the original packaging.

  2. Take clear photographs of the shipping box, shipping label, damage, and finished item.

  3. Contact Robin promptly.

  4. Do not discard damaged packaging until the situation has been reviewed.

Robin will review the circumstances and help determine the appropriate next step.

Any carrier claim may be subject to that carrier's documentation, deadlines, insurance terms, and claim requirements.

Lost or Missing Return Shipments

If tracking indicates that a finished project may be lost or significantly delayed, the customer should contact Robin.

Robin can provide available shipping information and assist with determining whether a carrier inquiry or claim should be initiated.

Stitch Itch Creations cannot guarantee reimbursement for losses caused by a third-party shipping carrier beyond any applicable carrier or purchased insurance coverage.

Delivery Confirmation

A package shown by the carrier as delivered is generally considered delivered to the shipping address provided by the customer.

Customers should choose a secure delivery location whenever possible.

If a package is marked delivered but cannot be located, the customer should first check with household members, neighbors, building management, or the shipping carrier.

Robin may assist with available shipment information but cannot control packages after carrier-confirmed delivery.

Project Timing and Shipping

Any estimated project-completion date is separate from carrier transit time.

Shipping delays caused by weather, carrier interruptions, holidays, address issues, natural disasters, or other circumstances outside Robin's control may affect the date a finished project reaches the customer.

Customers planning a project for a birthday, graduation, anniversary, holiday, memorial, or other important date should tell Robin during the project review.

A requested date is not guaranteed unless Robin specifically confirms otherwise.

Connection to the Cancellation & Refund Policy

This Shipping & Project Protection Policy should be read together with the Stitch Itch Creations Cancellation & Refund Policy.

Once customer-provided materials have been cut, sewn, altered, or incorporated into the project, they cannot be restored to their original condition.

Cancellation and refund eligibility may therefore change once production has begun.

Questions About Shipping

If a customer is unsure what to send, how to pack it, whether a particular item should be included, or how the finished project will be returned, Robin should be contacted before anything is shipped.

Robin would rather answer a question before meaningful clothing is mailed than have a customer take an unnecessary risk.
